Patient Coordinator
Job Title:Patient Coordinator
Reports To:Office Manager
FLSA Status:Non-Exempt

SUMMARY The Patient Coordinator is responsible for assisting the office manager in performing all functions of the front office in the assigned dental practice.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.
Birner Dental Management Services, Inc./Perfect Teeth retains the right to revise the following job duties at any time. Other duties may be assigned.

ADMINISTRATIVE FUNCTIONS:
·Exhibit conduct in a professional and consistent style, make administrative decisions and communicate in an accurate and timely fashion that reflects positively upon the Patient Coordinator, the office, and Birner Dental Management/PERFECT TEETH.
·Provide outstanding customer service and maintain positive patient relationships with the goal to achieve no patient complaints.
·Follow direction of office manager and adhere to corporate policies, established operating procedures and practice management model.
·Achieve professional, sustaining relations with office and central support staff through teamwork to ensure coordination of activities.
·Answer the telephone, greet patients, schedule appointments, present treatment plans to the patients and accept patient payments.

·Prepare for the next business day by confirming patient appointments, retrieving charts, printing care slips, reviewing patient account information, and printing the dentist and hygiene schedules.
·Verify patient information for accuracy.
·Complete specialty referral forms and follow appropriate process.
·Maintain the “Quick Call” list and patient recall list.
·Follow internal marketing procedures such as pursue patient referrals, referral gifts, new patient thank you cards, long term letters, kids letter, etc.
·Comply with all OSHA regulations; maintain office cleanliness, supply levels and equipment functionality.
·Attend all required office and corporate meetings, which include morning “huddles” and staff meetings.
·Regular and predictable attendance is required.

FINANCIAL/PRODUCTIVITY FUNCTIONS
·Review dentist and hygiene production schedules to ensure that the practice is working effectively to meet its production and collection goals.
·Adhere to Cash Control Policy to safeguard company assets.
·Accept and process received patient and insurance payments.
·Balance payments at the end of the day and generate daily reports.

GENERAL RESPONSIBILITIES
·Prioritize activities and assignments as to their relative importance.
·Exercise care in the completion of work assignments.
·Be responsive to company needs.
·Be creative and innovative in procedures and protocols.
·Implement improvement measures and suggests ways to improve efficiency of operation and working conditions.
·Request direction when needed.

SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities.

QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before patients and/or employees of organization.

MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, percent, discounts, interest, proportions and commissions.

REASONING ABILITY
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to understand and communicate the patient's prescribed treatment plan in a professional manner so that the patient also understands.

PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; and talk or hear. The employee frequently is required to stand, walk, and reach with hands and arms and move in small spaces. The employee is occasionally required to stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, peripheral vision, depth perception, and ability to adjust focus.

WORK ENVIRONMENT
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually moderate.
